Job Description

The Patient Representative is a member of the South Coast Pediatric team who functions under the direction, guidance and supervision of the office manager. The representative greets and checks in all patients reporting to the medical office in a professional and courteous manner using the NextGen electronic medical record. This position is responsible for accurate check-in, verifying patient’s demographics and insurance coverage. Responsible for having a general knowledge of the patient workflow in order to assist patients with questions and concerns. Requires use of the computer, telephones, scanners and copier. Demonstrates strong customer service and communication skills which must be maintained with all patients and co-workers. Adhere to HIPAA and patient confidentiality requirements.

ESSENTIAL RESPONSIBILITIES:
Greet patients
Answers incoming telephone calls
Completes accurate patient registration, such as, verification of patient demographics and payor coverage and make copies of all insurance ID cards
Provide appropriate documentation to patients as needed and review for completeness
Collect co-payments at time of check in and perform scheduled deposit drops in the safe
Verify when patients are due for vaccines, physicals and/or follow ups appointments.
Assist in processing patient requests in a timely manner (WIC or school forms etc.)
Conducts ""Reminder Calls"" for the patients for the following day.
Must keep lobby and front desk orderly at all times

The Medical Assistant position is a very busy and important position. It takes a very pleasant, patient and calm person to be able to work in a pediatrics office. The Medical Assistant works directly with the patients / parents and it is expected of the Medical Assistant to be pleasant, polite and greet the patients with a smile.

The following is a general list of duties that the Medical Assistant (Back Office) must be able to perform within the scope of practice:
The main job responsibility of the Medical Assistant is to room patients for physicals and office visits; take and document vitals (height, weight, temperature and blood pressure) in a timely manner; administer vaccines; perform hearing and vision tests; hemoglobin; lead levels; urinalysis; TB test and document chief complaints when needed.
Assist the physician as needed with medical exams, prep rooms and evaluate patients for immediate medical attention. You are to administer medications/injections/vaccines within the scope of the practice per the physicians' instructions and everything administered must be logged in the EMR/EHR system (NextGen) immediately.
Data entry of patient vitals and visit notes into EMR/EHR system (NextGen).
Insure that all exam rooms are clean, treatment areas and utensils/materials are sterilized as well as the exam rooms and treatment areas should be fully stocked with necessary supplies daily.
Perform ear lavage when requested by provider.
Assist provider when necessary in translating Spanish into English.
Print out lab orders for blood work as requested by provider.
Schedule pickups for routine urine collection with Quest, Lab Corps or CMB.
Keep inventory of all vaccines, rotate with recent date in front, and maintain the refrigerator temperature to 35.0 - 46.0 degrees. Medical Assistant is to check refrigerator and freezer temperatures daily at approximately 9:00am and 6:00pm.
Inventory of vaccines must be done monthly. Communicate with Kristine Mackey regarding vaccine supply.
Must accept and return calls from parents regarding questions applicable to your job at all times.
Fill out WIC, Vaccine Cards and school forms in a timely basis. These forms are usually done within (3) business days from the day the parents leave forms. On occasion the parent will need the form done on same day; we must try to accommodate them. In this case, if possible, the Front Office / Receptionist will help.
Make copies of vaccine cards for all ""New Patients"".
Medical Assistant will keep track of all medical supplies and place orders as necessary.
Inventory for the ""Reach Out to Read"" books must be done weekly.
Medical Assistants are responsible for inputting immunizations and scanning all lab reports or specialists reports into the NextGen system.
The Medical Assistant will receive and return calls when necessary from pharmacies regarding RX's, patients / parents, labs and hospitals regarding results.
